Operations Assistant Job in Dubai
We are looking for an experienced, organized, and proactive Crewing / Operations Assistant to support our marine operations and crewing activities. The successful candidate will coordinate crew changes, manage travel and visa arrangements, maintain vessel and crew documentation, and work closely with manning agencies, vessel operators, and port agents to ensure smooth crew mobilization.
Key Responsibilities
Crewing Responsibilities
- Liaise with manning agencies regarding crew requirements and recruitment.
- Coordinate and schedule crew interviews via Microsoft Teams or other online platforms.
- Verify and maintain crew documentation, including passports, visas, STCW certificates, medical certificates, and other statutory documents.
- Arrange crew joining and signing-off logistics in coordination with vessels, agents, and manning offices.
- Coordinate crew travel arrangements, including flight bookings, hotel accommodation (if required), Letters of Guarantee (LOG), and OK to Board (OKTB) approvals.
- Liaise with local and international agents for visa processing and immigration requirements.
- Maintain accurate crew records and monitor certificate and document expiry dates.
Operations Responsibilities
- Maintain records of vessel statutory certificates and operational documentation.
- Coordinate with vessel masters, operations team, and port agents to ensure timely crew changes.
- Prepare and update crew movement reports and operational records.
- Assist with daily operational activities and administrative tasks related to vessel operations.
- Ensure all documentation complies with company procedures and international maritime regulations.
- Support the Operations and Crewing Department with additional duties assigned by management.
Requirements
- Minimum 2 years of experience in Crewing, Marine Operations, or a similar maritime position.
- Good understanding of crew change procedures, travel arrangements, visa processing, and maritime documentation.
- Knowledge of STCW certificates, seafarer documentation, and crew logistics.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and Teams).
- Excellent communication and organizational skills.
- Ability to work under pressure and manage multiple tasks efficiently.
- Good command of English (written and spoken).
- Knowledge of maritime industry practices and vessel operations will be a strong advantage.
Preferred Qualifications
- Experience working with shipping companies, offshore support vessels, or marine service providers.
- Familiarity with crew management systems or ERP software.
- Knowledge of UAE visa procedures and international travel coordination.
